Absolutely. We use bank-level 256-bit encryption, offer multi-factor authentication, and are fully UK GDPR compliant. Our primary database is hosted in the UK (AWS London region); some service providers operate under the UK–US Data Bridge and equivalent safeguards — see our privacy policy for details.

What happens after my free trial?

After 14 days, you can choose to subscribe and keep all your data, or simply let the trial expire. We'll never charge you without your explicit consent, and you can export your data anytime.

Do you offer refunds?

Yes. If you're not satisfied within the first 30 days of your paid subscription, we'll refund you in full, no questions asked.

Can I access Practicos on my phone?

Yes. Practicos works on any device with a web browser. While we don't have a native app yet, the web app is fully responsive and works great on phones and tablets.

Is there a contract or commitment?

No long-term contracts. Pay monthly and cancel anytime. If you pay annually, you can still cancel and we'll refund the unused portion.

What happens to my data if I cancel?

You can export all your data anytime from your account settings. After cancellation, we keep your account for 30 days in case you change your mind. After that, your data is permanently and securely deleted.

Can multiple therapists share an account?

Yes. Our team plans allow multiple therapists to use Practicos together. Each team member gets their own login and can access shared client records, while maintaining individual schedules and notes.

Do I need a card to start the free trial?

No. The 14-day free trial starts as soon as you sign up — no card details needed. We'll never charge you without your explicit consent.

Do administrator seats really cost nothing?

Accepted Answer

Yes. Administrator seats are free and unlimited on every plan. Only practitioner seats — clinical staff who deliver therapy and sign clinical notes — count towards your plan limit. Reception and practice-manager staff can schedule appointments, manage client records and handle invoicing without costing you a penny.

Some service providers — for things like authentication, document storage, and SMS and email delivery — operate outside the UK, including in the United States, under the UK–US Data Bridge and equivalent safeguards. Does Practicos support EHCP and SEND caseloads?

Yes. Client records include EHCP tracking alongside a 50+ field case history, consent management and secure document storage, and goal tracking covers 10 speech and language therapy categories — built with paediatric and SEND caseloads in mind.

Can I invoice schools and organisations?

Yes. Practicos includes a UK-wide school database (including GIAS, the DfE's Get Information About Schools data), organisation contracts with delivery tracking, and organisation invoicing alongside standard client invoicing.

Can my clients pay by card?

Accepted Answer

Yes. Invoices can include a pay-now card payment link, powered by Stripe. You can also save cards with consent for automatic charging, issue refunds, and reconcile payments with ageing reports and CSV export for Xero or QuickBooks.

Does Practicos handle VAT?

Yes. Invoicing is VAT-ready with HMRC-compliant invoice numbering, and everything is priced and billed in GBP.

Can I track my HCPC, RCSLT and ASLTIP registrations?

Yes. Practicos tracks professional registrations with renewal reminders, plus a team compliance view for practices with more than one therapist.

Does Practicos connect to my existing calendar?

Accepted Answer

Practicos provides a one-way calendar feed (ICS) that you can subscribe to from your own calendar app, so appointments booked in Practicos appear alongside your other commitments.
