Bringing your team across

This is a worked example of setting up a practice with a team — one person signs up, chooses a team plan, and brings colleagues in — so you can see how roles, seats and invitations fit together.

Meet Marbrook Speech & Language Therapy. Grace Okonkwo is the clinical director; she works alongside two therapists — Daniel Chen and Amara Hussain — and an administrator, Beth Taylor, who runs the diary and invoicing. Grace is moving the whole practice onto Practicos.

Grace signs up and confirms her email in the usual way (see Creating your account), then works through the setup wizard.

  1. Welcome — Grace chooses the team option, because she’ll be adding colleagues.

  2. Practice details — she enters Marbrook Speech & Language Therapy and the practice’s contact details and address.

  3. The rest of the wizard — professional registration, client types and working hours, exactly as in the solo example. As the person setting the practice up, Grace is the owner, with full access including billing.

A team needs a plan that allows more than one practitioner. In Settings → Billing, Grace chooses Growing Practice — it includes ten practitioner seats with room to grow, and phone as well as email support, which suits a busy multi-therapist clinic.

From Settings → Team, Grace invites each colleague by email and chooses their role.

  1. Daniel Chen and Amara Hussain are invited as practitioners — they see their own clients, appointments and notes.

  2. Beth Taylor is invited as an administrator — she manages the diary and invoicing but doesn’t do clinical work.

Grace can change anyone’s role or remove them later, and any invitation that’s still outstanding can be resent or cancelled.

Practicos bills by practitioner seat; administrators are always free.

  • On Growing Practice, ten practitioner seats are included. Grace, Daniel and Amara take three of them, so Marbrook has plenty of headroom and no extra seat charges. Beyond the ten included, each additional practitioner is a small monthly (or annual) add-on.
  • Beth uses no practitioner seat — administrators never count towards your plan, however many you add.
  • If you add a practitioner or move someone into a clinical role part-way through your billing period, Practicos shows you exactly what you’ll be charged and when before you confirm — no surprises on your next invoice.

Each person Grace invites gets an email invitation. When they accept — using the email address they were invited with — they set up their own sign-in and land on the Marbrook dashboard, with a short welcome tailored to their role:

  • Daniel and Amara (practitioners) are pointed at the first things that help them get going — adding their HCPC number and setting their working hours, so they show up correctly on the calendar.
  • Beth (administrator) sees the admin tools she’ll actually use — the diary, clients and invoicing — and isn’t shown clinical-notes tasks that aren’t hers.

That’s the whole team on Practicos: Grace running the practice, Daniel and Amara seeing their own caseloads, and Beth keeping the diary and invoicing in order. For day-to-day team management, see Team, roles and seats.
